From black box to full transparency: New GUIs for Investment Compliance

Investment Compliance Profidata

Delegating responsibility without losing visibility – Profidata addresses this challenge with two new Investment Compliance interfaces in XENTIS.

The first interface provides transparency before a rule change takes effect, while the second creates a clear audit trail afterwards. Together, they provide visibility into a process that was previously difficult to track when Investment Compliance activities were outsourced.

The process begins with the new XENTIS IC Approval GUI. New rules, rule assignments and parameter adjustments are first implemented in a test environment before going live. A clear before-and-after view allows clients to see exactly what has changed and decide for themselves when an adjustment should take effect. For larger rule packages, a bulk approval function helps streamline the approval process.

Once a change has been approved, the new XENTIS IC Audit GUI provides a comprehensive record of who made which changes and when, ensuring that the necessary evidence is readily available for audits and internal reviews. This creates a transparent and traceable audit trail for every change – from implementation through to final documentation.

“The new interfaces provide visibility into what was previously often a black box,” says Jessica Hubschmid, Head of Consulting Switzerland at Profidata. “Our clients can see exactly what is changing within their rule sets while retaining full control over the final decision.”

A full-service approach that goes beyond software

The new GUIs are the most visible part of a service offering that extends well beyond the software itself. With Investment Compliance as a Service, financial institutions can outsource selected or entire Investment Compliance processes rather than managing them solely with internal resources. The Profidata team supports clients across systems, processes and operations – from regulatory monitoring and document analysis to rule coding and the provision of pre-trade and post-trade compliance modules.

To support reliable compliance checks, Profidata consolidates all relevant data – including master, valuation and market data – in a central database. For day-to-day operations, intuitive interfaces support monitoring and breach management, complemented by comprehensive reporting and complete audit trails.

Investment Compliance as a Service: Key benefits

  • Capacity when you need it: Staff shortages and peak workloads can be difficult to manage internally. The IC Service provides additional capacity when required, helping you maintain reliable operations.
  • Clear commitments, not vague promises: Binding service level agreements set clear standards for availability and response times.
  • Always ready for the next audit: From investment guidelines and implementation to testing and documentation, every step is fully traceable, with clearly defined approval processes throughout.
  • Specialist expertise and technology from a single source: Investment Compliance expertise and in-depth software knowledge come together without the need for additional third-party providers. This means questions can be resolved quickly and efficiently.

As soon as multiple jurisdictions are involved, complexity increases. Different regulatory requirements across markets can quickly result in a lack of transparency and considerable manual effort. With Profidata’s Country Rulesets Services, financial institutions no longer need to interpret and maintain these requirements themselves. Instead, they gain access to standardised rule sets that are ready to use in XENTIS and cover a broad range of markets – from Germany’s KAGB, DerivateV and InvStG to Luxembourg’s UCITS, AIF and SIF requirements and Switzerland’s KKV, KKV-FINMA and BVV2. These are complemented by requirements from Liechtenstein, Austria and Ireland, as well as EU-wide regulations such as the MMF Regulation.

The Profidata team continuously monitors regulatory and market developments – from EU directives and ESMA guidelines to new requirements such as the Sustainable Assets Directive – and systematically incorporates relevant changes into the existing rule sets at an early stage. This gives clients access to a consistent, up-to-date compliance framework across markets, without having to monitor every regulatory development themselves.

Reducing the burden on internal resources

Setting up new funds and mandates from an Investment Compliance perspective can be particularly resource-intensive – and this is exactly where Profidata’s IC Onboarding & Rule Coding Service comes in. We support clients both in maintaining existing funds and onboarding new ones. Following a clearly structured process, we analyse contractual documents, identify and flag the relevant restrictions, and cross-reference them against existing XENTIS rules to identify any gaps. We then handle the rule coding, carry out the necessary tests and test documentation, and perform a final completeness check of the rule set.

The IC Service provides additional capacity where the workload is greatest, while keeping clients fully informed and in control. With the new XENTIS Approval and Audit GUIs, they have full visibility into the work performed on their behalf at all times – freeing up internal resources to focus on their core business.
